Shenzhen Huaqi International Freight Agency Co., Ltd. (“Huaqi”, “we”, “us”) operates https://hq-log.cn (the “Site”). This Privacy Policy explains what personal information we collect through the Site, why we collect it, how we use and share it, and what choices you have.

1. Information we collect

Information you give us. When you submit a quote request or contact form on the Site, or contact us by phone, email or Telegram, we collect the details you provide:

  • your name and email address;
  • your phone or WhatsApp number;
  • origin city in China and destination country / city;
  • cargo weight or volume;
  • preferred shipping method and service type;
  • any message, cargo description or special requirements you send us.

Information collected automatically. When you visit the Site, we and our service providers automatically collect technical information such as your IP address, browser type and version, device type, operating system, the pages you view, the page you arrived from, and the time of your visit.

2. How we use your information

  • To prepare and send you a freight quotation and to answer your enquiry.
  • To arrange and manage bookings, customs clearance and delivery for shipments you ask us to handle.
  • To communicate with you about your enquiry or shipment, by email, phone, WhatsApp or Telegram.
  • To keep records we are required to keep for accounting, tax and legal purposes.
  • To understand how the Site is used so that we can improve it, and to keep the Site secure and free of spam.

We do not sell or rent your personal information, and we do not use it for unrelated marketing without your consent.

3. Who we share your information with

We share personal information only where it is needed:

  • Service providers that run the Site and our communications – our web hosting provider, our email service, Google Analytics (traffic measurement) and tawk.to (live chat). These providers process data on our behalf and are not permitted to use it for their own purposes.
  • Carriers, agents and customs brokers in the origin or destination country – limited to the shipment details needed to move your cargo.
  • Authorities – where we are legally required to disclose information.

4. Cookies and analytics

The Site uses cookies and similar technologies to work properly and to measure traffic. Google Analytics 4, provided by Google, collects aggregated statistics about visits and may set cookies for that purpose. Our live-chat widget (tawk.to) may set cookies so that a chat session stays connected. You can block or delete cookies in your browser settings; some parts of the Site may then not work as intended.

5. How long we keep your information

Quotation enquiries are normally kept for 24 months. Shipment records are kept for as long as Chinese accounting, tax, transport and customs rules require – normally five years – and longer where a claim or a legal obligation requires it. When information is no longer needed, we delete it or make it anonymous.

6. Your rights

You may ask us to:

  • confirm what personal information we hold about you;
  • correct information that is wrong or incomplete;
  • delete your personal information; or
  • stop using your information for a particular purpose.

To make a request, contact us using the details in section 9. We reply within 30 days. If you are in the European Economic Area, the United Kingdom or Switzerland, you also have the right to object to processing and to lodge a complaint with your local data protection authority.

7. Security

We use technical and organisational measures to protect personal information, including encrypted (HTTPS) connections, access controls and restricted administrator accounts. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

8. Changes to this policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top of the page shows when it was last revised. If we make material changes, we will announce them on this page.
